How Greeting Card Moderation Works

Use moderation as a governance layer

Workplace group cards are collaborative spaces. Most contributions are thoughtful, but a card can also collect an inappropriate joke, personal information or language that does not fit the recipient or company setting. Happy Tree Cards moderation helps eligible organisations find risky message content and gives administrators a choice about whether a flag should pause delivery.

Moderation is available on Basic, Professional and Unlimited organisation plans. It applies to organisation cards, not personal cards. An organisation administrator manages the policy from Organisation Settings .

Understand what the automated check does

When moderation is enabled, card messages are checked for risky content such as harassment, hate, sexual content, violence, threats, self-harm or illegal activity. Where a card video has a transcript, transcript text can be included in the message review. Image and video upload safety checks are separate from the organisation message-moderation list.

A flag records the affected message, a reason and one or more categories. It is a signal for review, not a final judgement about the author. Context, workplace relationships, quoted language and humour can all affect interpretation, so a human should inspect the actual card before deciding what to do.

Choose whether flags should stop delivery

Organisation Settings contains three controls: Enable AI moderation, Block scheduled delivery when issues are detected, and Block immediate sends when issues are detected. The two blocking controls are independent. This lets an organisation monitor and alert without blocking, block scheduled cards while retaining a separate immediate-send policy, or apply holds to both delivery paths.

Choose a policy before a sensitive event rather than changing it in response to one card. A regulated or widely distributed workplace may prefer both holds. A small team may use alerts with an organiser review. Document who reviews flags, how quickly they should respond and who may alter the organisation-wide settings.

What happens when an issue is found

The card owner receives a moderation alert and the issue appears in Flagged Cards . The page shows the card, recipient, message location where available, reason and categories. New changes can take up to five minutes to appear. Organisation administrators can see organisation-wide flags; members are limited to the records they are permitted to view.

If the relevant blocking option is enabled, delivery changes to Moderation Hold rather than being emailed to the recipient. A scheduled hold removes the pending automatic send, so do not assume the original date will resume by itself after a review.

Review the card, not only the category

Open View Card from the flag and read the message in context. Check who the intended recipient is, whether the message contains private information, whether an apparent quotation is still appropriate, and whether a video transcript accurately represents the recording. The moderation page is a review surface; it does not provide a one-click approve or dismiss button.

Where the organiser has permission, edit or remove unsuitable card content through the normal card controls. If a flag appears incorrect, make a considered human decision about the card and the organisation delivery settings. Avoid disabling moderation globally merely to bypass one deadline; that changes protection for every organisation card.

Resume a held card carefully

After resolving the underlying message, review the whole card again and set a new delivery decision through the card Admin controls. If immediate-send blocking remains enabled, an unresolved moderation record can hold an immediate attempt too. If the issue cannot be resolved before the occasion, choose a new delivery time rather than repeatedly attempting the same send.

Communicate privately with the contributor when appropriate. Focus on the content and the workplace standard, not an accusation about intent. Do not reproduce sensitive or harmful text in a broad group channel.

Reduce problems before moderation is needed

Set expectations in the signing invitation: explain the occasion, the audience and the deadline, and ask for messages that the recipient would be comfortable reading in a workplace setting. Keep the signing link within the intended group, use a password for a sensitive card when appropriate, and leave time between the signing deadline and delivery for a human review.

Review the policy when administrators change, after a false positive or genuine incident, and before high-volume seasons. For unexpected holds or flags that do not update after the card changes, use the support workspace with the card identifier and the displayed moderation state.
