How to Password Protect a Group Greeting Card

Password protection adds an access check while people are signing your card. Anyone opening the signing link must enter the password before they can view the card or add a message, image, GIF, sticker or video.

When to password protect a card

A password is useful when a card is confidential, intended for a limited group or part of a surprise. It gives you an extra layer of control if a signing link is forwarded to someone who should not see the card.

Password protection is an organisation feature. You must be signed in and belong to an organisation before you can enable it. If you need to set up a shared account first, read How to Run an Organisation Group Card Account .

1. Open the card setup

For a new card, choose a cover from Browse and complete the card details. To update an existing editable card, open your account card list and select Admin beside the card.

2. Turn on Password protected

In the card setup, scroll past Signing settings to Organisation settings. Turn on Password protected. A password field will appear below the switch.

If the control is unavailable, check that you are signed in to an organisation account and that the card can still be edited. Cards in a resend-only state keep their existing organisation settings but do not allow those controls to be changed.

3. Enter the password

Enter the password that signers will use. Passwords are case-sensitive and can contain up to 64 characters. Choose something that is difficult to guess and avoid using the recipient's name, the occasion or other information visible in the invitation.

Use Show to check the password before saving, then Hide if you do not want it displayed on screen.

4. Save and invite people to sign

Complete or save the card as usual, then share its signing link with the people you want to contribute. Send the password separately from the signing link where practical, especially for confidential workplace cards.

When a signer opens the link, the card remains locked and shows Unlock Card. The Password required prompt asks them to enter the password and select Unlock. They can also use Show or Hide while entering it. After a successful unlock, the normal signing tools become available.

Understand the three organisation controls

Password protected controls who can open and sign the card. It is the setting to use when access to the signing link alone is not enough.

Hide from team view prevents the card appearing in the organisation's team card view. It does not ask signers for a password.

Don't allow individuals to edit each other's content (Recommended), under Signing settings, controls what contributors can change after they enter the card. It does not control who can open the card. Organisation administrators can still edit all contributions.

Change or remove the password

While the card remains editable, open it from your account and select Admin. Under Organisation settings, use Show to review the current password, enter a replacement or turn off Password protected, then save the card.

If you replace the password, tell invited signers to use the new value on their next unlock attempt. Turning off the setting removes the password check from the signing link.

What happens after delivery

The password gate is designed to protect the contribution stage while a card is unsent, including when a card is held for moderation. After delivery, the card follows the normal delivered-card viewing flow, so the signing password should not be treated as permanent document encryption.

Troubleshooting

The password is not accepted

Enter the password exactly as the organiser supplied it, including capital letters, spaces and punctuation. Ask the organiser whether it has been changed since the invitation was sent.

You forgot the password

If you own or administer the card, open your account card list, select Admin and use Show beside the password field. You can then share the existing password or replace it and save the card.

Password protected is disabled

The control is available to organisation accounts while the card's organisation settings are editable. If you use a personal account, follow the organisation link shown in the card setup to join or create an organisation.

A signer keeps seeing Unlock Card

Select Unlock Card to reopen the Password required prompt. Re-enter the current password, checking its capitalisation. If it still fails, ask the organiser to confirm or reset it from Admin.
