How to Create and Manage Bulk-Recipient Cards

Send one shared greeting card to a whole team with bulk recipients. Colleagues sign the same card once, and each recipient receives a separate delivery email linking to that card—you do not need to create a different card for every person.

Bulk recipients means multiple people receiving the card, not multiple people signing it. An ordinary group card can still collect messages from many signers while being delivered to just one or two recipients.

Before you start

  • You need 3–100 unique recipient email addresses to save a bulk-recipient card. For one or two recipients, use the normal recipient fields instead.

  • Bulk cards require credits. You can spend an available balance or buy enough credit bundles in the basket to cover the card; bulk cards cannot be purchased as cash-priced single cards.

  • If you belong to an organisation, your membership must be active. Non-admin members also need Bulk emails access and enough monthly credit-spend allowance; ask your organisation administrator if either is restricted.

  • Use bulk sending only for genuine greetings and workplace celebrations that recipients would reasonably expect. It is not for marketing, unsolicited outreach or purchased or scraped address lists.

1. Choose a cover and enable bulk recipients

Open Browse , choose your cover and start creating a card. In the recipient section, select Send in bulk .

Read the Bulk sending agreement and tick all three confirmations: the recipients expect this non-marketing card and you are not using a purchased or scraped list; you agree to the Terms and Conditions; and you understand the bulk-card exclusion from the voluntary 14-day guarantee. Then select Enable Group Recipients . Closing the agreement leaves the form unchanged.

The recipient-name label changes to Group name . Use wording that suits the whole group, such as “The Finance Team”. The greeting and recipient name are shared, rather than personalised separately for each email address. Any primary and secondary addresses already entered are kept in the bulk list.

2. Add and check the recipient list

Type or paste email addresses into the Bulk recipients box, with one address per line or addresses separated by commas. Select Add Addresses to put them into the list. Check the displayed list, not just the text you have pasted.

  • Select Import List to choose a .txt or .csv file, or drag the file onto the Bulk recipients section. Files must be no larger than 64 KiB.

  • Use an email-only CSV without a header: addresses can be arranged in rows or columns. Remove names and other spreadsheet columns before importing.

  • Duplicate addresses are removed and email addresses are normalised to lowercase. An invalid address or malformed CSV prevents the import from being accepted; correct the file and import it again.

  • The displayed list is alphabetical and scrolls when it contains more than five addresses. Select Remove beside an address to take it out, or Download List to save the current list as a text file.

Keep at least three addresses in the list when saving in bulk mode. Adding or removing entries updates the form list, but an existing card is not updated on the server until you save.

3. Review the credit cost

The credit meter shows the total required for the selected recipients. The first credit covers the card and two recipient places; each additional credit adds four places. The total rounds up to the next whole credit for a new bulk card.

  • 3–6 recipients: 2 credits.

  • 7–10 recipients: 3 credits.

  • 28 recipients: 8 credits, providing capacity for up to 30 recipients.

  • 100 recipients: 26 credits.

The limit is 100 recipients even if the purchased capacity would cover more. Check the displayed total before confirming a credit spend. Organisation members’ monthly limits measure credits spent, not the number of cards.

4. Save, purchase and collect signatures

Complete the sender, message, card settings and delivery details. Choose a future delivery date, or defer the date if you are not ready to send. Select Save & Continue .

In the basket , use Spend Credits if your available balance can cover the card. Otherwise, add enough credit bundles to cover its full cost before proceeding to checkout. Review the confirmation and complete the purchase.

Invite colleagues to sign using the card’s sharing link. Everyone contributes to the same card, so nobody needs to sign a separate copy for each recipient. For help, see How to Invite Others to Sign a Happy Tree Card .

5. Send the card and check delivery

Allow enough time for signatures before the scheduled delivery. To send a purchased card now, open its editing screen using Admin where available and select Send Immediately .

Each listed recipient receives their own delivery email rather than appearing on a shared To or CC list. They open the same card with the same collected messages. Bulk deliveries are paced, so a large group will not necessarily receive every email at the same instant. Corporate email filters can still delay or block messages; sending in bulk does not guarantee inbox placement.

Open My Cards and find your card. Once delivery has started, select its clickable status to see the alphabetical recipient list, email delivery states and card-open status. Opened (n) counts recipients recorded as having opened the card.

Email delivery and card opening are different: a delivered email does not prove that the recipient has viewed the card. The details show each recipient’s first recorded card-open date; hover over a known date for the exact local time. Bulk card opens do not generate individual owner notifications.

Manage an existing bulk card

Use Admin beside the card when that action is available. You can add addresses, remove addresses, download the list and save your changes, subject to the card’s current delivery and editing restrictions. Do not assume a card already sent or currently sending can be changed.

On a paid card, adding recipients within its purchased capacity costs no additional credits. If the new list exceeds that capacity, saving opens Confirm Additional Credits . Review the extra cost and select Spend Credits And Save only if you want to proceed. Cancelling does not apply the extra credit spend or save those changes.

Removing recipients does not refund credits or reduce the card’s paid capacity. Those places remain available for later additions while the card can still be edited.

To leave bulk mode, select Use Individual Recipients . Only the retained primary and secondary addresses are kept; other bulk addresses are removed. A list with more than two entries asks for confirmation first. Check the individual fields afterwards: removing a designated primary or secondary address does not promote another bulk address into that role.

Organisation controls

Organisation administrators can open Organisation Settings and use the Bulk emails column in the members table to manage access for non-admin members. Invitations also include a default-on bulk-email option; active organisation admins always have access.

If access is disabled, a member cannot create a new bulk card, convert an individual card to bulk mode or add new recipient addresses to an existing bulk card. They can retain or reduce an existing list or switch back to individual recipients, subject to the normal editing rules. Existing scheduled deliveries continue; disabling access does not cancel them.

Troubleshooting

  • Send in bulk is missing: if you are an organisation member, ask an administrator to check your Bulk emails access. Also check whether the card is still editable.

  • The card will not save: check for invalid addresses, unadded text in the address box, fewer than three recipients or more than 100 recipients.

  • An import fails: use a .txt or headerless, email-only .csv file within 64 KiB. Correct invalid addresses and CSV quotation errors before trying again.

  • Checkout or a top-up is blocked: check the available credit balance, bundle coverage, active organisation membership and any monthly credit-spend limit. Do not repeatedly submit an uncertain payment or credit spend; refresh and review the card and balances first.

  • Someone has not received the email: check their delivery status, confirm the address and ask them to check junk or quarantine. See How to Troubleshoot Group Card Email Delivery before resending.

Responsible sending and refunds

We may hold deliveries while investigating suspected misuse and suspend accounts for confirmed spam or abuse. Bulk-recipient cards and credits spent on them are excluded from the voluntary 14-day money-back guarantee. This does not remove your statutory rights or remedies for system problems, and does not exclude unrelated unused paid credits.

An ordinary card is not a bulk-recipient card merely because several people sign it. Read the Terms and Conditions and the bulk-recipient refund policy before enabling bulk sending.
