How to Create and Send Cards with Custom Covers

Use a custom cover when the front of the card matters

A custom cover lets an organisation replace a catalogue design with its own approved artwork. It is useful for brand-led employee recognition, a recurring internal campaign, a company milestone or an occasion that needs specific wording. The cover is the front of the card; colleagues still add their individual messages and media inside the group card.

Custom covers belong to an organisation shared design library. They are available on Basic, Professional and Unlimited plans. Current library limits are five covers on Basic, ten on Professional and unlimited on Unlimited; the Custom Covers page shows live usage and the applicable limit.

Prepare artwork for the card shape

The cover editor uses a portrait canvas with a 770 by 1080 proportion. Prepare a clear, high-quality source image close to that aspect ratio. Allow breathing room around logos, names and important wording because the editor may crop the outer edges when the image is scaled or rotated.

Keep essential text large enough to read at thumbnail size. Use strong contrast and avoid placing small copy over a busy photograph. Check that you have permission to use the logo, photograph, illustration and type treatment. A custom company cover should still feel appropriate to the recipient, not like an advert.

Upload and position the cover

Open Custom Covers and select Add Cover. Give the design a specific name that other organisers will recognise, then choose the source image. Use scale, rotation and position controls to fill the portrait canvas. Inspect all four edges before saving; an image that looks centred at full size can still crop a logo or line of text.

The editor records the crop and transformation, so you do not need to pre-crop every source file. However, a well-prepared portrait original gives better results than forcing a wide banner into the card shape. If saving is unavailable, check that the organisation plan includes covers, the shared limit has not been reached, the name is present and your membership is active.

Understand ownership and editing permissions

Custom Covers separates My Covers from Team Covers. An active member can create a cover when capacity is available and can edit or delete covers they uploaded. Organisation administrators can edit or delete any organisation cover. Other members can use team covers without being able to change someone else’s source design.

Use that ownership model deliberately. Assign a small number of people to maintain official brand designs, give covers durable names such as “Company Birthday 2026”, and remove superseded versions once no longer needed. Deleting an unused library entry creates capacity, but first check whether colleagues still rely on it for future cards.

Create a card from the shared cover

Go to the card browser and choose Custom Cards. Organisation covers available to your account appear there; select the required design and continue through the normal card-creation flow. Enter the recipient and sender details, choose the card type, add an initial message if useful, and set or defer the delivery date.

Complete checkout or spend an available credit. The purchased card then appears in Purchased Cards, where you can copy the signing link, invite colleagues, monitor signatures and administer delivery. The custom cover does not change how signing, scheduling, moderation or recipient email delivery works.

Review the complete card before sending

Check the cover at both thumbnail and full size, then review every inside page. Confirm that the design suits the occasion, the recipient name is correct, logos are not cropped, and colours remain readable on ordinary screens. Also check contributions for layout and content; a polished cover cannot compensate for an unfinished card interior.

If organisation moderation is enabled, allow time for flags to appear and be reviewed. A moderation hold concerns card message content and delivery policy; it does not mean the custom cover upload itself failed.

Maintain a useful cover library

Prefer a small set of reusable, clearly named covers over many near-duplicates. Keep evergreen birthday, farewell, welcome and anniversary designs, then add campaign-specific artwork only while it is active. Review the library when branding changes and before downgrading a subscription, because a lower plan may have a smaller cover allowance.

For an upload, permission or rendering problem that remains after checking the source image and plan limit, open the support workspace and describe the cover name, file type, browser and action that failed. Do not send proprietary source artwork outside the approved support channel.
